Say My Name, Say My Name

The reason calling a business is still so important is because people buy from people. They want to speak with a live human being, not a voicemail. One key way to add value to your phone calls is by simply saying the caller’s name throughout the conversation. Confirm the spelling, repeat it once or twice, and be sure to say it as your ending the call – “Thank you, Sam. I will make sure Jane receives your message.”

 

Stay Friendly

Remember, this phone call is often times the first and only impression you have on potential clients; make it a good one by keeping a warm, inviting tone. We know this can be difficult when you have an irate caller on the other end. One tip we like to use: try to avoid the phrase “I don’t know”. If you really don’t know the answer, focus on what you can do in order to help your caller. “Jane would be the best person to help you with that. Let me see if she’s available to speak with you.”

 

Be Ready

Customers are calling to find a solution to their problem, whether that be to purchase an item, receive support, etc. It’s your job to provide those solutions. Be prepared by writing down the most commonly asked questions and the answers. A checklist can be helpful, especially when remembering follow-up questions.
